Associations User Guide
1. Introduction to Associations
The Associations section allows you to create a group calendar that displays the availability of all members within an association on a single page. This feature enables different Reservation Key accounts to connect and share their availability.
1.1. Purpose
Associations are designed for groups like bed and breakfast associations, where members can easily view each other’s availability. This is particularly useful for checking availability at other member properties when one is fully booked, facilitating guest referrals.
1.2. Joining or Creating
You have two main options:
- Click “Create New Association” to start a new association.
- Click “Join Existing Association” to become a member of an association that has already been set up.
2. Creating a New Association
When creating a new association, you will need to fill in the following details:
2.1. Membership Code
This unique code will link the rooms and units you select to the group availability calendar. You will share this code with other members who wish to join your association.
2.2. Association Name
Enter the name of your association.
2.3. Title
Provide a title for the association calendar page.
2.4. URL
Enter the website address for your association. Clicking on the association name may link to this URL.
2.5. Embed Quick Link to Weekly Calendar
Code is provided that you can use to embed a direct link to the association’s weekly calendar on your website or other platforms. The code will be similar to:

2.6. Select Rooms or Units
Choose the specific rooms or units from your account that you want to display on the association’s group availability calendar. Check the boxes next to the desired rooms or units.
3. Joining an Existing Association
To join an association that has already been created, you will need the following information:
3.1. Membership Code
Enter the membership code provided by the administrator of the association you wish to join. This code will link your selected listings to the existing association calendar.
3.2. Your Listing Title
Enter a title for your listing as it will appear on the association calendar.
3.3. Your URL
Enter the website address for your property. Clicking on your listing name on the association calendar may link to this URL.
3.4. Your Contact Phone Number
Provide your contact phone number for the association listing.
3.5. Embed Quick Link to Weekly Calendar
Similar to creating a new association, you will find code to embed a quick link to the association’s weekly calendar. The usage is the same as described in section 2.5.
3.6. Select Rooms to Include
Choose the specific rooms or units from your account that you want to include in the association’s group availability calendar. Check the boxes next to the desired rooms or units.

What are themes?
Themes are style sheets that can be used to customize to look and feel of your reservation pages.
Can I create my own themes?
You can create your own themes. You can add as many themes as you want.
Can I hire you to build a custom theme?
Yes! For a one time payment of $99 we will build a custom theme to match the look and feel of your website. Your reservation pages can take on a whole new look with just a new theme. Custom themes are normally ready within a few days of your purchase. Watch this video for more details.
Can I see some examples of custom themes?
Yes, we have created a special page to showcase some of the custom themes we have built. We also are including the CSS in case you want to try working with one of these themes yourself. Click here to view the theme showcase.
Can I add graphics to my themes?
Yes. You can add as many graphics as necessary uploading images in the themes tab.
How do I use a theme to hide certain sections of a reservation page?
You can hide certain sections of a reservation page by selecting the section you wish to hide and changing the style to “display: none”.
Exactly where on a reservation page do each of the theme sections correspond?
Each section of a theme corresponds to a section on the reservation page. Above each theme section is a descriptive header to help you determine where the section appears in the reservation page. You could also use your browser’s view source feature to view the HTML and find the corresponding CSS class on the page.
